Twelve years ago our client has made a decision to become a business developer and to start an innovative promotional business in the UK. He wanted to create a technological breakthrough.
The business idea was very ambitious but it implied a variety of business processes to handle: lots of phone calls, emails, managing several websites…So, the employees had to be ready for a great deal of paperwork.

The purchase process was long enough. After the client made an order, the company had to send a letter to a supplier for him to send a quote. Then, this quote was sent for approval to the client. If not approved, it was sent back. If everything went well, the client received the invoice. He paid an invoice and sent it back to the supplier.
Then the supplier sent a mock-up for an approval. If the mockup needed to be improved it was sent back to the supplier. Everything resulted in a significant loss of time before the start of production, and it took approximately 2 or 3 days to confirm the final cost.

The suppliers had different prices, that’s why there was a necessity to work on the price formation mechanism and add an option of adding the cost calculation formula of each print position. That’s because one supplier may have something included in the price while another doesn’t. The price may vary not only on the kind of a position but on the number of printed items as well. Now the price approval process has considerably reduced in time.
The platform and automation
There was a need to create a universal platform for promo materials and to automate the business processes, which the company used to handle manually for 12 years. The company has a wide range of products. It was necessary to manage such a variety of goods somehow, so we moved the goods database outside the Magento platform.
We integrated the platform with Akeneo PIM (Product Information Management System). There was a bottleneck though: to modify the initial supplier’s data. For example, the supplier sends an excel file with prices in a random order and with the description of how to determine the prices based on the data in columns. We analyze how the price formation will be presented in the system, what kind of attributes will be needed, types of products, formulas, etc. Then we complete and modify the source format. As a result, we get a unified system of goods with all the necessary tools. So, the functionality of the platform is the following:

Automation
- Automation of the product’s configuration for the client with an instant cost display and with the opportunity to order a certain number of items.
- Automation of the coordination and order confirmation processes.
- Establishing the goods import automation for different suppliers with different classes of goods.
Communication
- The communication on the orders was moved to ORO CRM.
- Each order has a special workflow and an algorithm of order tracking. All changes in the order movement are automated and displayed.
- As a result, the necessary pattern is being sent to definite people (mockups, delivery data). Correspondingly, there is no need to keep a watchful eye on mails.
Design and customization
- Unique UX design was developed for an eCommerce store for it could stand out from the competition.
- A unique customization algorithm was developed for all classes of goods.
